Invitation to Participate

On behalf of the 2021 organising committee, we are pleased to invite your organisation to participate as a sponsor or exhibitor in the inaugural Virtual Australian Earth Sciences Convention (AESC 2021) which will be held from 9-12 February 2021.

The AESC is the premier biennial gathering of Earth Scientists in Australia and is held under the auspices and with the backing of the Geological Society of Australia. The convention will showcase current trends and advances in earth science, including the latest findings on the deep structure and composition of our planet, our diverse crust and surface environments, developments in energy and resources sectors and critically, the essential role that geoscience plays in our sustainable future.

The organising committee is working hard to produce a convention of extremely high standard for the earth science community and it is expected that the move to an online delivery of the convention will capture a new global audience and expand the overall reach of the event.

The 2021 convention will include live invited plenary and keynote speakers, live Q & A session with presenters, posters and virtual field trips as well as providing networking opportunities with fellow delegates and direct engagement with industry partners. Session presentations and posters will be available for download and off-line viewing two weeks prior to the convention.

Through the online or ‘virtual’ exhibition, delegates will engage one-on-one with sponsors and exhibitors. Exhibitor information, downloadable brochures, and engagement in ‘instant meetings’ with suppliers are just some of the features available to all delegates via the online platform.

The AESC online platform enables sponsors to connect and exchange contact information with delegates, in a digital environment (‘lead capture’). Sponsors can create lists of customised questions they wish to ask delegates during the online convention. The sponsor representative completes the questionnaire with the delegates responses and this information can be used for marketing and follow up post-event. Once a ‘lead capture’ is complete in the system, an email is automatically dispatched to the contact, including the answers and participating delegate information. Delegates will also receive an email to say thank you for meeting with us/visiting our display.

This is an exciting time for conferencing. Online or ‘virtual’ events make it easier for people to meet, communicate, learn, and connect; even when they’re unable to come together physically.

Bookings & Payments

Acceptance of Terms and Conditions
Conference Design Pty Ltd, members of the Organising Committee and the Host Organisation are collectively referred to as The Organisers.

The Organisation listed on the sponsorship and exhibition application will be referred to as your Organisation or collectively as sponsors and exhibitors.

By booking a Sponsorship or Exhibition package you are accepting these terms and conditions.

Acceptance of Applications
Conference Design will issue a Tax Invoice once a Sponsorship or Exhibition booking has been completed.

Any advertising is not an offer capable of acceptance. The Organisers reserve the right to decline any sponsorship or exhibition application.

GST and AUD
All costs are inclusive of Goods and Services Tax (GST) and listed in Australian Dollars (AUD).

Payments
Payment is required within 14 days of us issuing your Tax Invoice to confirm your application.

Sponsorship and exhibition entitlements do not commence until payment has been received.

Cancellation of Sponsorship and Exhibition Bookings
Once a sponsorship and exhibition application has been accepted all payments are non-refundable. If you are no longer able to attend the convention, please contact Conference Design to discuss your participation.

Postponement of the Convention
The Organisers do not accept any liability for losses incurred if the convention is postponed due to an event that renders proceeding with the meeting inadvisable, illegal, impracticable or impossible.

If the convention is postponed within 12 months of the original dates, the booking will be transferred to the rescheduled event and the monies paid retained.

An event could include, but is not limited to, an infectious disease outbreak; industrial disruptions; service provider failures; governmental restrictions or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension or restriction on transportation; or any other emergency.

Cancellation of the Convention
The Organisers do not accept any liability for losses incurred if the convention is cancelled due to an event that renders proceeding with the meeting inadvisable, illegal, impracticable or impossible.

If the Organising Committee is not able to postpone the convention and it is cancelled, monies paid will be returned, less all non-refundable expenses incurred in the planning of the convention up until the date of the cancellation.  You will be offered a partial refund or credit to a future convention.

An event could include, but is not limited to, an infectious disease outbreak; industrial disruptions; service provider failures; governmental restrictions or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension or restriction on transportation; or any other emergency.

General Information

Disclaimer and Changes
Every effort has been made to present all the information accurately, however no liability is accepted for any inaccuracy and the Organisers reserve the right to change any published information.

The Organisers reserve the right to amend, update or delete sponsorship and exhibition packages.

Correspondence
When booking please appoint a single point of contact within your Organisation. All bookings will be recorded under the one name and all correspondence will be sent to this person.

Insurance
The sponsorship and exhibition fees do not include insurance of any kind regarding the cancellation or postponement of the convention.

Indemnity
Your Organisation shall indemnify and hold harmless the Organisers for any loss, or injury to persons suffered as a result of your participation in the convention, except where the Organisers are found to be negligent.

Supply of Goods and Services
The supply of any services, or advice is entirely at your Organisation’s own risk.

During the Convention

Representatives
Anyone from your Organisation attending the convention or guests you wish to invite to the convention must register with Conference Design before the convention.

Interactive Exhibitions
The AESC online portal does not support interactive, graphically designed or 3D exhibitions of any type. Exhibitions will be listed in order of sponsorship level and will include a profile, logo, website and, if applicable, downloadable materials.

Exhibition Opening Times
The Exhibition will be open at dedicated times throughout the program. It is expected that at least one representative from your organisation will be available for meetings during this time.
